Providers: Fleet operators who subscribe to our platform.
Bookers: End-customers who make reservations through a Provider's GridOps-powered system.
Website Visitors: Individuals browsing gridops.ca.
Job Applicants: Individuals applying for employment with GridOps.
By using our Services, you consent to the data practices described in this policy.
2. Our Role as Data Controller and Processor
For Providers, Website Visitors, and Job Applicants: GridOps acts as a Data Controller for the personal information we collect directly from you for our own business purposes (e.g., account management, marketing, recruitment).
For Bookers (End-Customers): GridOps acts as a Data Processor on behalf of our Provider customers. The Provider is the Data Controller for the Booker data processed through the Services. Our processing of Booker data is governed by our Data Processing Addendum with the Provider and their own privacy policy.
3. Information We Collect
A. Information You Provide Directly:
Account Information: Name, email, company, phone number, billing address.
Business Data: Fleet details, driver information, pricing rules, customer lists.
Booking Data (as Processor): Booker name, contact info, payment details, travel preferences, special requests.
Communications: Records of your inquiries, support tickets, and feedback.
Career Applications: Resume, cover letter, work history, references.
B. Information Collected Automatically:
Technical Data: IP address, browser type, device ID, operating system.
Usage Data: Log files, pages visited, features used, time stamps, clickstream data.

C. Information From Third Parties:
Payment Processors: Stripe provides transaction IDs and confirmation status.
Service Providers: Analytics providers (e.g., Google Analytics, PostHog) may share aggregated usage data.

5. How We Share Your Information
We do not sell your personal information. We may share it in the following limited circumstances:
With Providers (for Booker data): Booking data is shared with the specific Provider to fulfill the reservation.
With Service Providers: We engage trusted third parties for cloud hosting (AWS, Google Cloud), payment processing (Stripe), customer support, and analytics. These parties are bound by strict Data Processing Agreements.
For Legal Reasons: To comply with law, regulation, legal process, or enforceable governmental request.
Business Transfers: In connection with a merger, sale, or acquisition of all or part of our business.
With Your Consent: For any other purpose disclosed to you with your explicit permission.
6. International Data Transfers
Our Services are hosted in North America. If you are located outside North America, your information may be transferred to and processed in Canada or the United States. We ensure all such transfers are protected by appropriate safeguards.
7. Data Security
We implement industry-standard technical and organizational security measures designed to protect your information, including encryption (in transit and at rest), access controls, and regular security assessments.
8. Data Retention
We retain personal information only as long as necessary to fulfill the purposes outlined in this policy, unless a longer retention period is required or permitted by law.
Account Data: Retained while your account is active and for 7 years thereafter for legal/financial compliance.
Booking Data (Processor): Retention of identifiable personal data is controlled by the Provider (the Data Controller). We will delete or return personal identifiers upon instruction. However, anonymized, aggregated, and de-identified data used for "Grid Intelligence" (as defined in our Terms of Service) is retained indefinitely by GridOps for analytical and product improvement purposes, as it no longer constitutes personal information.
Marketing Data: Retained until you withdraw consent or opt-out.
Technical & Usage Data: Aggregated and anonymized for analytics; raw logs retained for up to 90 days for security monitoring.
9. Your Privacy Rights
Depending on your location, you may have rights regarding your personal information (Access, Rectification, Erasure, Restriction, Objection).
Providers & Website Visitors: Submit a request to
privacy@gridops.ca.Bookers (End-Customers): Please contact the Provider (the bus company) directly, as they are the Data Controller for your booking information.
10. Cookies and Tracking Technologies
We use cookies to analyze trends, administer the website, and track user movements. You can control cookies through your browser settings.
11. Children's Privacy
Our Services are not directed to individuals under the age of 16. We do not knowingly collect personal information from children.
