WHAT IT IS

GridOps is charter bus quoting software for bus, coach and motorcoach companies in Canada and the US.

It replaces quoting from a shared inbox, a spreadsheet and a calculator on your desk. Requests come in from the booking form on your website, from a customer’s email, or from the phone. GridOps prices each one from your own rates: per kilometre or mile, per hour, minimum hours, empty legs, weekends and holidays.

You check the trip and the price side by side, send it in one click, and GridOps follows up until it’s booked.

Your day, changed

What changes when quoting moves onto a board?

The same seven steps of every charter quote. Pick a step to see what changes.

The quote board

An industry-tested Kanban board, built for charter quoting

Sales teams have run their deals on boards like this for decades: every deal in a column, every next step obvious. GridOps brings the same process to charter bus and motorcoach quoting. Designed for visibility. Designed for action. Designed to convert. Designed for simplicity.

Designed for visibility

See every request, and how long it has waited.

A clock on every new request: green, amber, red, then pulsing.

Your team is emailed at once, reminded at 1 hour and 6 hours, and sent a 6am summary.

Every card tells you the one thing to do next.

New requests wait on one button: Check & send.

Quiet quotes show a Remind button, and follow themselves up after 48 hours.

Booked trips with no bus or driver yet land in your dispatch action queue.

Four ways in

Four ways in, one board

However a bus charter request reaches you, it lands on the same board, priced from the same rates. Customers can also book on your own website through the charter booking engine.

01

Over the phone

Quote while they’re still on the line.

Build and price the trip in the quote builder as they talk

Customer says yes? Accept the quote for them

Email a payment link or an invoice before you hang up

02

In person

Quote at the counter, or at their office.

Price the trip in front of them, from your own rates

Accept it for them and email a payment link they can pay on the spot

Record cash, cheque or e-transfer if they pay another way

03

By email

Forward it or paste it. GridOps reads it.

Forward to your private GridOps address and it becomes a request

Or paste the email and the trip fills itself in

The customer gets a “we got your request” email at once

04

From your website

An instant price, or your review first.

A booking form as a link, an embed, a Book now button or a pop-up

Simple trips can get an instant price, if you choose

Complex trips, like multi-day, come to you to price

03 · BY EMAIL

Paste an email, get a trip

Drop in the customer’s email and GridOps reads the customer, date, pickup, stops, drop-off, return and passengers. Anything it isn’t sure about is flagged for you, and extras like luggage or wifi become notes.

The customer’s email
From: Priya Nair · Subject: Bus for our Whistler day
Hi there, We’re looking for a bus for our team’s day trip to Whistler on Saturday, Nov 14. About 48 of us. Pickup at 7:30 AM from the Pacific Rim Hotel, a quick stop at Shannon Falls for 30 minutes, then Whistler Village. We’d head home around 5. A few people are bringing skis, and wifi would be great if you have it. Thanks, Priya, Northshore Events

Your booking form, on your own site

Put a booking form on your own website as a link, an embed, a “Book now” button or a pop-up. Choose Instant price, or Review before sending and check every price first.

Your own questions can change the price, and if someone leaves the form halfway, GridOps emails them a link to finish.

Your questions, your prices

Ask about bags, alcohol on board or child seats, and let each answer add a charge. You choose whether it’s required and whether it’s taxed.

Customer question editor: a checked-bags question whose answer adds a charge to the price

Multi-day trips, spotted for you

When a request runs over several days, the form asks whether the bus stays, which days it’s needed and about the driver’s hotel, then sends the trip to you to price.

Left halfway? GridOps brings them back

If someone gives their email and leaves your booking form before the end, GridOps emails them a link to pick up where they left off. When they finish, the request lands on your board.

Quote builder

Priced line by line, from your own rates

This is charter bus pricing software that works from your own rates. Set your price per kilometre or mile, per hour, your minimum hours and your minimum trip price, and GridOps measures the road distance and driving time for each route, including the drive from your yard and back.

Your margin, worked out

What you make

The real day behind the price

GridOps measures the whole day from your yard and back: driving with guests, parked and waiting, and the empty legs. Only the driving with guests goes on the customer’s quote. The rest is for you.

Pricing

What does charter quoting software cost?

One price per bus for the whole charter quote software: every feature on this page included and no booking fee on charters. The founding operator price is open until December 31, 2026.

Questions operators ask about charter quoting

Can customers get a price on my website straight away?

Yes. Set your booking form to Instant price and customers see a real price from your rates as soon as they enter the trip. Set it to Review before sending and GridOps prices it in the background for you to check first.

Can I check every price before it goes out?

Yes. With Review before sending, nothing reaches the customer until someone on your team checks it and clicks send. Every quote shows how its price was built, line by line.

Does it charge for the empty drive to and from my yard?

It can. Empty legs get their own line, and the yard round trip can be billed at cost or with a markup. On one-way trips you can also charge for the empty return.

Where does the customer’s money go?

Straight to your own Stripe account. Deposits, balances and refunds all run through it.

Does it work in Canada and the US?

Yes. Price in kilometres or miles, charge in CAD or USD, and set taxes by province or state, including GST and HST.

What if a customer just phones or emails me?

Paste their email into a new quote and the trip fills itself in, or forward it to your private GridOps address. If they phone to say yes, accept the quote for them.

How long does setup take?

You can be set up in as little as 24 hours.

Can you bring over my information?

Yes. We can help bring over your information, so you don’t start from a blank page.

What counts as a bus?

Any vehicle that can be booked or dispatched counts as a bus.

Does GridOps take a cut of card payments?

No. GridOps charges no fees on your card payments. Stripe charges its own card processing fees, which are paid to Stripe.
