Fleet and availability for bus operators
Bus fleet calendar: know which bus is free before you say yes.
Every bus on one calendar, with its charters, shuttle departures and bus tours. See which vehicle is free before you say yes, and GridOps won’t let the same bus be sold twice.
$40 per bus per month, with a 30-day free trial.
WHAT IT IS
GridOps gives bus and coach companies in Canada and the US one fleet calendar for every vehicle, with its charters, shuttle departures and bus tours on the same timeline.
It replaces the wall calendar, the spreadsheet of buses and the separate tour calendar that doesn’t know what the charter desk just sold.
Before you say yes to a charter, you see which vehicles are free. When one line takes a bus, the others can’t sell it: a charter that takes a coach removes that date from the on-demand tour calendar.

Your day, changed
What changes when every bus is on one calendar?
The same seven moments of keeping a fleet available. Step through them to see what changes.
Fleet and availability
Why run your fleet on one calendar?
Every sale depends on a free bus. When charters, shuttles and tours share one calendar, you can say yes with confidence and never sell the same vehicle twice.
01
Every bus, every line
One timeline per vehicle.
Day, week, month and driver views.
Charter bookings, shuttle departures and tour departures on the same bus timeline.
A driver view shows the same trips by driver.
Swap the vehicle on a trip in one step.
02
No double booking
One pool of buses, shared by every line.
When a charter takes a bus, that date disappears from the on-demand tour calendar.
Customers booking an on-demand tour never see a date with no free bus.
Shuttle departures show on the calendar under the bus that runs them.
Vehicle assignments are checked for conflicts.
03
Free buses while you quote
See the free count before you send.
See how many vehicles are free that day while you build a quote.
Hold a bus when the quote is sent, 72 hours by default.
The customer is warned before a held bus goes back on sale.
An unpaid deposit releases the hold after 48 hours.
04
Blocks and buffers
Maintenance and time off, on the same calendar.
Block a bus for maintenance, with a buffer either side.
Block a driver for time off.
Repeat a block on a schedule.
Blocked buses drop out of the free count.
How does one fleet serve charters, shuttles and tours?
Each line books buses its own way. They all draw on the same vehicles, so the calendar is always the truth.
Charters
Charters hold, then book
A sent quote can hold a bus, and an accepted quote books it.

Shuttle departures
Departures claim their bus

Pricing
What does the fleet calendar cost?
The fleet calendar comes with GridOps at one price per bus, with quoting, dispatch and payments included. No per-user fees.
Questions operators ask about fleet availability
Can I see which bus is free before I quote?
Yes. While you build a quote, GridOps shows how many vehicles are free that day, and you can hold one when you send it.
How does GridOps stop double bookings?
Charters, shuttle departures and tours share one pool of buses. When one line takes a bus, the others can’t sell it for that time.
What happens to a held bus if the customer goes quiet?
The hold lasts 72 hours by default. GridOps warns the customer before it lapses, then the bus goes back on sale.
Can I block a bus for maintenance?
Yes. Add a maintenance block with a buffer either side, once or on a schedule.
Does GridOps track maintenance or inspections?
No. It takes the bus off sale while it’s in the shop. Keep your maintenance records in your shop system.
Does it track buses by GPS?
No. GridOps shows where each bus is booked, not where it is right now.
Can customers see my fleet?
Yes. A hosted Fleet page shows every vehicle with photos and amenities, ready to link from your website.
Do shuttle seat counts come from the bus?
Yes. Assign a bus to a departure and its seat count becomes the departure’s capacity. Seats can’t be oversold.
Can I swap a vehicle on a trip?
Yes, in one step, and GridOps checks the new bus for conflicts.
What counts as a bus?
Each vehicle on your fleet calendar counts as one bus in the price, whatever its size.
